Get 11 hours of your week back.
Without paying for SimplePractice.
A modern operating system for solo therapists, EMDR specialists, and group practitioners — what Grodzki taught about building a practice, finally built into a workspace you can actually run.
Therapists spend an enormous 43% of their week on everything but therapy itself.
You didn't train for six years to build forms in Word. PracticeOS replaces the patchwork of Google Sheets, sticky notes, and half-built Notion pages with one operational hub — built specifically for the rhythms of a small therapy practice.
Industry estimate · 2025Everything a small practice actually needs.
Built around the documentation, scheduling, billing, and growth tasks that quietly consume your week — with a careful carve-out for EMDR phase tracking and group-therapy operations.
Private Practice Hub
Client database, session notes, scheduling, payment tracking — one place, not seven tabs. Templates included for intake, progress notes, and termination.
EMDR Phase Tracker
The full 8-phase protocol mapped to a client-level dashboard. Mark phase progress, log resource installations, surface clients due for re-evaluation.
Group Therapy Toolkit
Multi-client session notes, group consent forms, attendance log, group-billing helper — designed for cohort and process groups, not just 1:1.
Insurance & Superbills
Superbill template with CPT/ICD-10 fields, claim tracker, EOB log, and an insurance verification SOP. Save the work; keep the rate.
Onboarding & Policies
Branded client portal, policy templates, sliding-fee agreement, no-show language, cancellation policy — all written by therapists, ready to ship.
Growth & Self-Care
CEU tracker, referral source CRM, weekly admin-load review, boundary-setting client scripts. Designed to make the next year less heavy than the last.
Reveal what you're actually trained to do.
The 43% admin tax isn't a personality flaw — it's a tooling problem. PracticeOS gives you the operational shape Grodzki described in Building Your Ideal Private Practice, except you don't have to assemble it yourself from sticky notes and a Google Drive folder.
Weekly load review
An 8-phase protocol that actually lives somewhere.
Your supervision binder is not a workflow. PracticeOS ships a per-client EMDR dashboard — current phase, resources installed, target memories logged, reprocessing dates — so you can walk into a session knowing exactly where this client is, not where you guessed they were.
EMDR — Client #C-0142
Run a group like you run a practice — not a Word doc.
Group notes, attendance, group-specific consent, and group-billing handling are bolted on as a dedicated module. Built for trauma-skills groups, DBT cohorts, men's process groups, and parenting circles.
Trauma Skills Group · Thu 2pm
Start your practice the way you wish you'd been taught.
Graduate programs don't teach business. The Intern Edition gives you the six essential documents your first 20 clients need — informed consent, release of information, sliding fee, no-show policy, termination letter, intake — without the SimplePractice subscription you can't afford yet.
First 90 days · checklist
The books told you what. PracticeOS is the where.
Lynn Grodzki, Sarah Rees, and Joe Sanok are required reading. Then you close the book and realize you still have to build it.
The books
- Teach you the concept of intake, but ship no forms
- Cover insurance shallowly; you still buy the Griswold book
- Generic to one modality; nothing for EMDR phase tracking
- No group-therapy operations
- Written 5–20 years ago; no digital workflow
- Nothing tracks the 43% admin load
Generic Notion templates
- Pretty dashboard, no actual PDF forms attached
- Single-modality, no EMDR support
- Single-client thinking, no group module
- No insurance/superbill helper
- No onboarding for pre-licensed
- No admin-load reduction layer
PracticeOS Pro
- 25 ready-to-use intake / consent / release PDFs
- Full superbill, claim tracker, insurance verification SOP
- EMDR 8-phase tracker — per-client dashboard
- Group module (Bundle tier)
- Intern Edition for pre-licensed therapists
- Weekly admin-load review template
This is how it works.
From opening Notion for the first time to logging your first EMDR phase progression.

Is PracticeOS a substitute for professional mental health care or supervision?
No. PracticeOS is an administrative and documentation system for licensed and pre-licensed clinicians. It is not a clinical decision tool, does not provide diagnosis, and is not a substitute for professional supervision, consultation, or training. Clinical content (e.g. EMDR phase tracking) is structural only — your protocol training and supervisor relationship govern actual clinical work.
Does this come with instructions and templates?
Yes. Every tier includes a setup walkthrough PDF, a getting-started checklist, and pre-filled examples in every Notion database. Pro and Complete also include a 90-minute video walkthrough.
Can I personalize the templates and PDFs?
Yes. The Notion workspace is fully editable — add fields, rename modules, change colors. The PDF intake forms are provided as editable .docx and .pdf with form-fill so you can drop in your logo, license number, and contact info.
What's Notion, and do I need a paid subscription?
Notion is a free workspace app. You can run PracticeOS entirely on the free personal plan — we've designed it not to require team or AI add-ons. If you're already on a paid plan, the workspace integrates with no changes.
Is this HIPAA-compliant?
PracticeOS itself is a workspace template. HIPAA compliance depends on the platform you store client data in and your business associate agreements. Notion's enterprise tier offers HIPAA BAAs; the free/personal plan does not. We recommend storing identifiable PHI in your existing EHR and using PracticeOS for non-PHI workflow management, or upgrading Notion to an HIPAA-compliant tier. Guidance is provided in the setup PDF.
What happens after I purchase?
You receive an immediate email with a Notion duplication link, the PDF pack download, and the setup guide. Walkthrough video access (Complete tier) arrives in a second email within minutes.
Are upgrades included?
Yes — lifetime free updates to the tier you purchased, including any new PDFs we add to that tier. Upgrading from Starter to Pro or Pro to Complete is offered at the price difference.
Is there a refund policy?
14-day money-back guarantee, no questions asked. Email us and you're refunded.
PracticeOS is an administrative tool, not a clinical one. It does not diagnose, treat, or constitute clinical advice. Templates are starting points and should be reviewed against your jurisdiction's licensing board requirements before use with clients. If you are in clinical crisis or supporting a client in crisis, please reach out to your supervisor, consultant, or local crisis services.
